Private Rented Sector Database - **New Guidance Released**

MHCLG had released guidance for landlord, letting agents and third parties to help prepare for the rollout of the Private Rented Sector Database.

The Government has published new guidance for landlords, property managers and third parties who will be registering and managing entries on the new Private Rented Sector (PRS) Database, which will begin rolling out across England from December 2026.

What Does the Guidance Cover?

The new guidance explains how landlords will be able to access and use the service, and to understand the registration requirements.

This includes:

  • Registering and managing property information.
  • Uploading supporting documents and compliance information.
  • Updating property records when details change.
  • Managing entries where they have been authorised to act for a landlord.
  • Understanding the roles and responsibilities of both landlords and third parties when using the service.

Landlords Remain Responsible

While the guidance confirms that property managers and third parties can assist with many aspects of the registration process, landlords will continue to hold ultimate responsibility for ensuring the information provided is accurate and complete.

This means that even where a landlord appoints a letting agent or property manager to support them, they remain accountable for meeting their legal obligations under the Renters’ Rights Act.

Preparing for Registration

Both landlords and their agents can use this opportunity to ensure important documents and information are up to date and available, including:

  • Gas Safety Certificates.
  • Electrical Installation Condition Reports (EICRs).
  • Energy Performance Certificates (EPCs).
  • Property and tenancy information.
  • Contact details and management information.

Having this information prepared in advance is likely to make the registration process smoother when the service becomes available.
